Browsing Data
When you visit our website, we track the pages you visit and the actions you take. For example, we can track what page you arrived on and what page you left on. We track and store this information via our Cookies using programs such as Google Analytics and CrazyEgg.
Profile Data
When you subscribe to our newsletter or fill out any of the forms on our site we will collect and store the data you provide, like your email address, password and telephone number, and any other information you provide. We assign you a unique identifying number in our databases.
For example: If you visit our website and complete the Coach Development plan, then we’ll do three things; Connect with you via email or phone with an offer to discuss this plan in more detail, send your our monthly CoachExpress newsletter (with tips and tools), and store your plan with our student records should you decide to enrol in our training (this plan is one of the program outcomes).
When You Enrol in one of Our Courses or Programs
As a student or graduate of International Coach Academy, you can be assured that any information you share with us will be treated with the highest of confidentiality. It will never be shared, sold, or distributed outside ICA. When you enrol with us you will access your programs and courses inside our Learnsite, which is a password protected online training platform. In addition to training materials this platform includes a community forum and a support hub.
Profile Data
You can choose to provide profile information like a photo, website link, social media profiles, or other data in our forum. Your Profile Data will be viewable by other students, graduates and trainers and will not be shared publicly.
Course data
We record your exchanges with instructors and other students via the forum; any assessment tasks, answers to questions, audio recordings and other items submitted to satisfy the following:
- to process your enrollment application and payment
- to provide you with the study tools and resources required to complete your program
- to set you up in the ICA Learnsite and forum
- to make decisions regarding your program participation, development and outcomes
- managing variations to your enrolment
- ICF accreditation and certification compliance
- for the publication in the ICA yearbook, blog and ICA Website (permission based)
- general administration of your enrollment
Communications and Support
If you contact us for support or to report a problem or concern (regardless of whether you have created an account), we collect and store your contact information, messages, and other data about you like your name, email address, location, operating system, IP address, and any other data you provide. We use this data to respond to you and research your question or concern, in accordance with this Privacy Policy.
Recording of classes
ICA will record zoom classes as a tool for accreditation compliance, faculty development and evaluation of the ICA curriculum. These recordings are for internal use only, with access password and permission based, and will never be shared outside this confidential space. Recordings will be deleted after 12 months.
Students and Graduates are not permitted to record classes under any circumstances. To do so would be

When you access our Services (including browsing programs and courses), we also collect certain data by automated means, including:
System Data
We collect technical data about your computer or device, like your IP address, device type, operating system type and version, unique advice identifiers, browser, browser language, domain and other systems data, and platform types.
Useage data
We collect useage data both in our Learnsite and on our public site. This data includes usage statistics about your interactions with the us, including time spent on pages, pages visited, time spent in the Learnsite, features used, your search queries, click data and date and time data.
Approximate Geographic Data
We collect your approximate geographic location, including information like country, city, and geographic coordinates, calculated based on your IP address.
The data listed above is collected through the use of server log files and tracking technologies, as detailed in the “Cookies” section below. It is stored by us and associated with your account.
Where We Store Data and How We Use It
Browsing Data
We store the information you provide us in the following 3rd party databases – Capsule CRM, Mailchimp and Bookeo. We use this data to develop the quality of our services and communication, ensuring we are offering the right service to the right people.
Student and Graduate Data
We store student records to provide a quality service to our students and graduates, to monitor quality and completion rates and to comply with ICF Accreditation guidelines. The databases used to manage your student profile are secure and with high industry credibility (e.g. WordPress, Freshdesk, Accredible, Mailchimp, Capsule, Flexbooker).
Your learning and progress will be shared with you during classes, via email, and in the private forum. Records of your portfolio outcomes, performance evaluations and class attendance must be retained for a minimum of 7 years (as required by our ICF Accreditation). However, you can unsubscribe yourself from any future correspondence at any time.
Payment Data
The databases used to store profile and payment data are industry recognised as being secure and as having high levels integrity (e.g. Stripe and Chargebee). We use industry recognised merchants to process online payments. If you enrol with us use a direct payment gateway to complete your purchase, then these providers will collect your data. It will be encrypted through the Payment Card Industry Data Security Standard (PCI-DSS). (Wikipedia Entry) our purchase transaction data is stored only as long as necessary to complete your purchase transaction. After that is complete, your purchase transaction information is deleted.
Consent and Security
Consent
When you provide us with personal information to download a resource, complete a transaction or verify your credit card, we collect and use it for that specific reason only. If we ask for your personal information for a secondary reason (i.e. newsletter subscription), we will ask you directly for your expressed consent and provide you with an opportunity to withdraw your consent.
